Important Travel Registration Reminders for WVU Faculty and Staff Planning International Trips

West Virginia University Reminds Faculty and Staff to Register International Travel

West Virginia University (WVU) has issued a reminder for all faculty and staff planning to travel internationally for university-related purposes. The reminder emphasizes the importance of registering travel plans, especially when carrying University-owned or personal equipment connected to University programs, including email access, while abroad.

Travel Registration Requirements

WVU employees must complete an international travel registration form. The form collects information necessary to comply with U.S. Export Regulations. Completing this registration helps confirm compliance with federal export control laws. It also ensures travelers receive coverage through International SOS for health and evacuation insurance.

The university recommends completing the registration process at least six weeks before the planned travel date to allow for timely processing.

Student Travel Through Education Abroad

Faculty members traveling internationally with students must conduct all student travel—whether for credit or non-credit—through WVU’s Education Abroad program. Faculty who have not yet started this process but plan to travel with students should contact Vanessa Yerkovich at Vanessa.Crandell@mail.wvu.edu for assistance.

International Visitor Registration

WVU also reminds faculty and staff to register visits from foreign visitors with the Office of Global Affairs’ International Visitor Registry before arranging or accepting such visits. Upon receiving travel registrations, the Export Control Office (ECO) reviews visitor information to identify any federal restrictions or export control considerations.

The ECO will contact the host if additional documentation or steps are needed and will provide any necessary guidance regarding export control compliance.
